Paperwork, Communications and Payments | Day Camp

Below, you'll find more information about camp paperwork, payments, cancellation and communication, as well as contact information for our camp teams at your YMCA summer camp. Click each topic to expand for more information.

What paperwork is required and how do I submit it?

Because YMCA day camp is a state-licensed child care program, certain paperwork and information is required for your child to attend, and the Y has partnered with Playerspace to manage that paperwork.

If this is your first time registering for a YMCA child care program, you'll receive an email from Playerspace (typically 48–72 hours) with a link to activate your account. This email will be sent to the primary email address on your YMCA account. You should not create a Playerspace account before receiving your activation email. 

Please note that if you are registering for camp the first week of February, it may take slightly longer than 72 hours to receive your Playerspace activation email. Please wait for the email to create your account.

Once you receive that email, you will:

  • Activate and set up your Playerspace account (this is different than your YMCA registration account) 
    • Finish your child's registration by completing the online registration form
    • Complete your child's health history, including place of employment and phone number (if parent/guardian is not employed, you should fill in N/A)
    • Add two emergency contacts other than parent/guardian with address and phone number for each contact (required by the state of Virginia for all licensed child care programs)
    • Sign all required waivers
    • Add anyone who is authorized to pick your child up from camp
  • Upload your child's required documents

After you have completed your registration in Playerspace, review all icons to make sure there are no red exclamation points. If there are, click the icon to see what is missing from your child's registration.

Please note that medication authorization and allergy management plan forms expire one year from the date the doctor authorized unless otherwise noted by the doctor.

When are camp payments due?

A $10 nonrefundable deposit per week holds your child's spot in summer day camp when you register. Weekly tuition is due by 6pm the Wednesday before camp begins and your credit/debit card will be charged automatically on the due date.

What if I receive payment assistance for child care?

Because the Y is a state-licensed child care provider, we accept Department of Social Services (or DSS) and other third party payment assistance providers. Contact us by emailing childcare@ymcashr.org and we'll help you register.

How will my camp team communicate with me?

Camp communications are sent by email using Playerspace, our paperwork and communications partner. These emails will go to the address of the primary person on your YMCA account. You can also sign up for text alerts in Playerspace, and add additional email addresses to receive communications.

You can also download the Playerspace app, log in and then tap the Inbox button to see messages.

What if I need to change or cancel my child's registration?

Need to make a change or cancel your camper's registration? We require a 14-day notice in order to ensure proper staffing ratios and to allow children on the waitlist to be offered a space. Let us know at least two weeks before the camp session you are cancelling begins.

Cancellation requests can be made by requesting a change to your care.

If you don't cancel at least 14 days in advance, you will be responsible for that camp session's full tuition.

Please note that enrollment fees and camp deposits ($10/camp session) are nonrefundable.
