Below, you'll find more information about required forms, payments, cancellation and communication, as well as contact information for our preschool team. Click each topic to expand for more information.
Because the YMCA of South Hampton Roads is a licensed childcare provider, some paperwork is required before your child can attend preschool.
After you complete registration and check out, you'll find these forms in the Requirements section of your YMCA account.

- Child's Information
- Child's Proof of Identity
- Child's Most Recent Physical & Immunization Record(VA) (NC)
- Parent/Guardian Information form
- Child's Emergency Information
- Additional Authorized Pickups
- Medication consent (required if your child requires medication while in our care)
- Allergy management plan (required if your child has diagnosed food allergies)
- Non-Prescription Skin Products Authorization
- Waivers
- Parent Code of Conduct
Please note that medication authorization and allergy management plan forms expire one year from the date the doctor authorized unless otherwise noted by the doctor.
Backpack: Full-size backpack (large enough to fit a folder, spare clothes, and lunchbox)
Water Bottle: Reusable, spill-proof water bottle labeled with your child’s first and last name
Snacks & Lunch: Healthy snacks, Insulated lunch box for meals and perishable items (labeled)
Extra Clothing: Full change of clothes: shirt, pants, socks, underwear (in a labeled zip-lock bag)
Rest Time: Small blanket and crib-size sheet for nap mat (labeled)
Optional comfort item (e.g., stuffed animal)
Toileting: Diapers/pull-ups and wipes (for children not yet potty-trained)
Training pants (if in transition): Children ages 3–5 should be fully potty-trained
Reminders:
- Label all items with your child’s first and last name
- Replenish supplies (e.g., clothes, diapers) as needed throughout the year
- Please avoid sending toys unless requested for a specific classroom activity
All parents must sign their child in and out every day. When dropping your child off, please walk your child to their classroom and put their belongings in their cubby. When picking your child up, please check your child’s mailbox and cubby for any special projects, notes from the teacher and important announcements.
The Preschool parent handbook contains very important information regarding program procedures, policies and expectations. It is provided to each new family at the time of enrollment and may also be downloaded here. All parents are responsible for understanding and following the handbook policies and procedures.
Frequent communication between families and staff helps provide security and consistency for your child. At YMCA Preschool, we use Brightwheel to keep families informed and engaged in their child’s day. This secure communication app allows our teachers to:
- Share real-time updates, photos, and videos of classroom activities
- Send messages directly to parents and caregivers
- Build a strong connection between home and school
- Brightwheel helps us ensure you never miss a moment of your child’s learning and fun!
Please ensure we have your current email address and that you are signed up for text alerts. If you have any questions, feel free to contact our preschool site phone found on our locations page. If a conversation requires extended attention, we encourage scheduling a conference to minimize classroom disruptions.
Important information such as menus, lesson plans, newsletters, calendars, and messages will be posted on classroom bulletin boards. Please take a moment to review these updates regularly.
To protect the health and safety of all children, parents and Y associates, all Y Preschools are strictly adhering to all health and safety protocols recommended by the Virginia State Department of Health.
All Y Preschool centers have an emergency preparedness plan. We have local and non-local evacuation plans, as well as shelter in place (lockdown) plans. Drills are regularly implemented to practice our emergency routines for fire; weather emergencies (tornado); chemical emergencies (local chemical spill); criminal activity in the area; and other situations.
